PERSONAL DATA PROTECTION NOTICE

At DEA System UK & IRE (“DEA”, “We”, ”Us’, “Our”), we respect your data security and privacy and are committed to devoting the utmost attention by protecting you through our compliance with this Privacy Notice (“Notice”). This notice describes how we fulfil this commitment, the types of information we may collect from you or that you may provide and our practices for collecting, using, maintaining and protecting that information.

When you interact with us directly and indirectly on our website www.deasystem.net and all related pages (“the website”) (or otherwise), you may provide, or we may collect, certain information from which you are personally identifiable (which is referred to as Personal Data). For the purposes of the General Data Protection Regulation or “GDPR” (and all other laws relating to the use of your personal data), we are the “Data Controller”, meaning that we are responsible for deciding how your Personal Data is used and more importantly, for keeping your data safe and only using it for legitimate reasons.

We collect data that alone or in combination with other data, could be used to identify you. Some data we collect, which can be collected automatically, is data that cannot be linked back to you, this is classed as Non-Personal Data. 

We obtain Personal Data relating to you from various sources when you directly or indirectly interact with us, including the following:


1. Account Application Form:
When you sign up – Upon signing and submitting the “Account Application Form” any company and contact data that you have supplied is collected and stored.

 

2. Mailing List:
When you sign up to our mailing list by completing a sign-up form we collect your name, email address, region, and whether you are an end-user or installer. We will also record the time and date of completion.

 

3. Contact Form:

When you submit a request on our website (either a general enquiry or regarding a product) we collect your name, company name, phone number, email address, region and location, and whether you are an end-user or installer.

 

4. Direct Contact:

If you contact us directly, we may collect various Personal Data from you, for example, your name and contact details.

 

5. Cookies and Related Technologies:

Like many websites, we also use “cookie” technology to collect critical data about the behaviour of our visitors, including usage data to improve the Website and our Services. Please note, cookies do not store any Personal Identifiable Information.

 

We use cookies, web beacons, pixels, or other tracking technology across our Website to personalise your experience with us.

 

This information includes internet protocol (IP) addresses, location, device type, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, click data, device-identifying data. We use Personal Data to provide you with any goods or services within our legitimate business interests.

For example, for you to be able to purchase a product from us for collection or delivery, you would need to set up an account with us. Some of the details that are required for billing and delivery include company details and contact details.

We will also use this data to tailor any follow up sales and marketing communications, this includes sharing information with you about any company updates/news, product updates/news or even any exclusive offers on the goods and services that we provide. Without your Personal Data, we wouldn’t be able to share this information with you. As someone who has joined our mailing list, signed an ‘Account Application Form’ or an existing customer of ours, you are likely to have a legitimate interest in this information.

Our marketing and advertising communications may be carried out using automated contact methods (e-mail, text messages, other bulk messaging tools, etc.) and traditional contact methods (for example, operator telephone calls).

Importantly, we do not pass your Personal Data onto any third parties for them to market their products/services to you. If in the future we decide that we want to, we will only do so if we have your consent.

We do, however, disclose your Personal Data to third parties when this is a requirement to fulfil a legitimate business practice and help us to deliver our goods and services to you. We will ensure that access is limited on a strictly need to know basis and is subject to suitable obligations relating to confidentiality and security.

Product Delivery:
We use third-party courier services to deliver our goods all over the UK. When you place an order with us, for the goods to be delivered, we will share your delivery address with the third-party courier company. When you open an account with us, you grant us the explicit content to perform such business processes.

 

Delivering relevant DEA email:
We use a third-party service called ActiveCampaign to administer our mailing lists and send out emails.


Third-Party Cookies:
We may employ third party companies to have access to your Personal Data only to perform Service-related services or to assist us in analysing how our Service is used. Please note, they are obligated not to disclose or use it for any other purpose. These include Google Analytics, Google AdWords, Google Tag, Facebook Pixel.

In addition to the above, we may also be required to share your Personal Data with third parties if required by law or regulation. In such circumstances, we will make sure that the disclosure is only to the extent required by law or regulation.

Every email contains a quick and easy unsubscribe link in its footer.

When you unsubscribe from our mailing list (managed via ActiveCampaign), your details remain on the list of past recipients. This is a measure to prevent circumstances such as a member of staff accidentally manually re-adding you.

Please note that we may still need to send you service notification emails, such as quotations and invoices.

We take reasonable steps to protect your Personal Data from loss, misuse, and unauthorised access, disclosure, alteration, or destruction, taking into account the risks involved in the processing and the nature of the Personal Data. We also make sure that third parties who need to handle your data when helping us to deliver our goods and services are subject to suitable confidentiality and security standards.

Despite the security measures we implement, please be aware that the transmission of data via the internet or email transmission is ever fully secure or error-free. As such, we cannot guarantee that data transmitted to us via the internet will be completely secure and any transmission is at your own risk.
